Guidelines for Submitting Articles to CRHRA for Monthly Newsletters

The Capital Region Human Resources Association publishes newsletters on a monthly basis September to June. Our newsletter reaches over 750 members at more than 450 companies in the Capital District. Regular articles regarding Legal Q & A and other topical chapter updates are prepared by the Board of Directors of CRHRA. We invite members to submit articles to us, based on their field of expertise, in order to build upon the knowledge of our members.

Guidelines for submitting articles are as follows.


Topic selection should be reserved to areas related to the practice of human resources or to the HR body of knowledge as specified by the Society for Human Resource Management. This body of knowledge covers strategic management, human resource development, workforce planning and employment, compensation and benefits, employee and labor relations, and occupational health and safety.


The audience for newsletters is comprised of HR generalists who may be just starting in the profession, or who may have many years of experience at the Director or VP level. Some members work in the non-profit or public sector arena, others in for-profit arena, and some are students of HR Management.

Biographical Information

Please include a two or three sentence biography at the end of the article that explains why the author has knowledge of the subject. This lends additional credibility to the article if the author is not well known. Include any professional affiliations and the author’s e-mail address if they wish to be contacted by readers.

Avoid Promotional Material

Our members expect articles that are unbiased, evenhanded and non-promotional in nature. Writing about particular products or services will disqualify an article from consideration. If one product is mentioned, an alternative product should also be discussed; articles must be objective, offer advice that is broadly applicable, and include information about competing products and services. Articles are not advertisements: CRHRA offers several excellent venues for advertising.

Suggestions on Writing Style and Format

Write clearly and concisely. Use simple language; make your point in as few words as possible.

Use the active, not the passive voice. "They decided” is better than "it was decided.”

Write in the third person. Instead of "you should,” it is better to say, "the company should” or "an HR professional should.”

Define terms that may not be well known. Avoid jargon or clichés. On first mention, spell out abbreviations and acronyms. If in doubt, define.

Do not over-use quotation marks, italics, underlining and bold print. Our readers are educated professionals who need very little guidance in deciding which words are important.

Cite sources. If the article says, "a recent study shows,” then please cite the study in parentheses following that sentence.

General formatting. Please limit your article to 800 to 1,000 words. Please submit them as e-mail attachment in Word format if possible.

How to submit an article

Articles should be e-mailed to CRHRA Newsletter Chair, Sally Bratten.

Routine edits of articles are to be expected. If the Newsletter Chair believes an article needs substantial editing, it will be returned to the author with suggested changes.
